Connection and usage of a corporate Uber (“滴滴”) account in China

One of the most annoying things at work is the process of preparing an expenses report. Regular expense reports (报销 单) always take one raw in a report table. But after you return from somewhere, say, a business trip, or after meeting guests, you get tons of taxi bills and preparing the report gives you a headache.

In this article we will tell you how to get rid of complications, at least the in case of taxi bills. All you need is a cellphone, a business license and a little of your time.

First of all, you will need to open a corporate account in Didi service. You can make it here https://es.didichuxing.com

You will need a cellphone number that you will later use to log in to your Didi account, black and white copy of your business license with the company’s color stamp on it and access to the company’s bank account. After filling in a simple form (containing name, phone number, administrator’s full name) registration will be completed and you will be able to fine-tune your account. For example, select administrators who will be able to approve/disapprove travels. Add employees and set restrictions for users – for example, Bob can use corporate payment only from 18-00 to 23-00 after Paul’s mandatory approval and the limited amount of such expenses do not exceed 1000 yuan per month. While Paul can use the service with no limit and at any time. As well as other restrictions, like setting up the service allowing Bob to call for economy class vehicles only, and Paul – both business and luxury.

That’s about it, but the replenishment issue remains open. Without attaching a corporate bank account, you will have to use your own money to make replenishments and then set forth these expenses in the company’s reports. Therefore, the company has to be verified by attaching its bank account.

To do so, you simply select the “verification” section and fill in the number of your corporate account and company’s full name. The system will issue the details and the amount you need to transfer for the verification. This is a sum of 0.01 to 1 yuan – a usual verification. After you are done with that, you can safely transfer any amount to that account – money will come to the company’s Didi account within 24 hours.

When all above procedures are finished, after you are done with adding employees accounts to the service, a switch appears 个人支付\企业支付 (personal payment/corporate payment) at times you request a vehicle.

The employee may keep using the service as a private individual or can choose “corporate” if there is a need to travel at company’s expense.
At the end of the month, DiDi issues an invoice for the amount of money you spent for transportation all together, and when you prepare a transportation expenses report for the accounting department, you will need only one row in the table and a single invoice attached. Everybody is happy.

But there is a couple of fly in the ointment as well:

– Postpayment rates are available only for signatories to travel for an amount of at least 100,000 yuan per month

– Invoices can only be issued for the traveled amount, not for the replenishment amount.
